Why Multi-Factor Authentication is important when accessing data

Many industries are following stricter compliance regulations that require enhanced security measures. Implementing multi-factor authentication (2FA) demonstrates our commitment to protecting data. 

At Smee & Ford we aim to follow best practice in data management and security. For this reason, we are using Tableau Cloud for accessing data intelligence and notification documents. Tableau Cloud now only run their services with the user having 2FA in place.  

We understand that for some of you this may be the first time you’re having to setup a 2FA so we’ve put together some FAQs which will answer some of your questions.

Please also contact your internal IT team and managers for guidance as this type of authentication and protection of data will become standard and they may have a process setup ready for you to follow.  

 

Frequently asked questions for when you access Tableau Cloud

Can I use an OTP/Text number method instead?

Tableau Cloud no longer supports this method of authentication. We have been advised that this is a method that is being phased out and is not considered to be particularly secure anymore. 

 

I don’t have a smartphone what are my options? 

If you do not have a smartphone, please follow the alternative options included with the question below.  

I don’t want to use my personal phone for verification – what are my options? 

We understand and respect your reluctance to use personal devices for work-related authentication. Our goal is to follow best practices in data management and security and implement the best methods. We advise that you contact your tech/management team for advice as this type of authentication and protection of data will become standard.  

At present the alternative options for your charity are: 

  • Download a desktop authentication app – there are many options, discuss with your IT team what the best choice for your charity will be.  
  • Invest in authentication keys for whoever needs them – there are many guides online about these keys that will help guide you.

 

There is more than one person in my team who needs to access the portal – can we have extra logins? 

Yes! We can add more than one user in case you need extra team members to be able to access the portal and your notification documents. Please contact our customer service team to add new people. 

I use an iMac – what are my options? 

You can use any operating system for authentication, and you should be able to access Tableau Cloud from any web browser.  

If you are unable to download Microsoft Authenticator specifically, then please use an alternative authenticator. We have found the following which you may find useful if you are using an iMac:
